One of the biggest mistakes I made when I started my business was saying yes to everything. I accepted every client who could fog a mirror and was available 24/7 to all my clients. I remember one situation in particular where I received a call at from a client at 11:30 at night, and I made the mistake of answering the call. The call lasted around an hour to get an issue resolved that could have waited until the next day.
This set the tone for our relationship for the next few months until I finally realized I could not be available all the time to every client. I had to explain to the client how our relationship would work from that point forward and establish clearly communicated boundaries. Fortunately, he understood, and he is still a client to this day.
Failing to establish and maintain clear boundaries in business can lead to burnout, resentment, more stress, decreased productivity, poor decision-making and even strained relationships. Boundaries allow you to set clear limits around your time, energy, responsibilities and interactions with clients, customers and others.
Boundaries can be physical (work hours/ availability), emotional (not tolerating bad behavior), digital (not checking emails after a certain time), or even contractual (defining the scope of a client project). Boundaries are essential for your well-being and the success of your business.
Why It's Important To Set Boundaries
1. Prevents Burnout. You may overextend yourself by working long hours or taking on more than you can reasonably handle if you don't set boundaries. This leads to mental and physical exhaustion, decreased performance and ultimately burnout. Clear boundaries ensure that work demands remain within manageable levels.
2. Improves Productivity. When you set boundaries around your time, such as blocking out hours for focused work or refusing non-urgent meetings, you protect your most productive hours. This allows for deeper concentration and higher productivity. Any time I am working on an important project with a looming deadline, I turn off my phone and notifications so I can have singular focus on the task at hand.
3. Enhances Professional Relationships. Setting boundaries promotes mutual respect. When colleagues or clients understand your limits and you respect theirs, it fosters trust and reduces conflict. For instance, if a client knows you only respond to emails during business hours, they won’t expect late-night replies, and communication becomes more predictable and respectful.
4. Supports Better Decision-Making. Boundaries act as a filter allowing you to better assess opportunities and requests. If a request doesn’t align with your goals or exceeds your capacity, having established boundaries makes it easier to say no.
5. Builds Confidence and Integrity. Sticking to your boundaries demonstrates self-respect and professionalism. It lets people know you value your time, energy and expertise. Over time this builds your reputation as a reliable and trusted professional.
Types of Boundaries
- Time Boundaries: Defining working hours, breaks and availability for meetings.
- Communication Boundaries: Setting expectations for response times, preferred communication channels and appropriate language.
- Responsibility Boundaries: Clarifying roles and duties to avoid micromanagement or role confusion among employees or virtual assistants. Develop an onboarding process for new clients so each of you understands how you will work together and the boundaries. It's important to set expectations at the beginning of the relationship
- Emotional Boundaries: Protecting your emotional well-being by not taking on others’ stress or tolerating behavior you think is unacceptable.
- Digital Boundaries: Controlling digital accessibility, such as not responding to messages on weekends, not responding to emails after a certain time or turning off notifications when you are focused on an important project. One way to be more efficient handling email is to only check it twice daily. Consider checking it once in the morning and once in the afternoon.
Six Ways To Set and Maintain Boundaries
1. Clarify Your Priorities: Understand your values, goals, and limits. This clarity forms the basis for what boundaries are necessary to support your vision for your business.
2. Clearly communicate your boundaries: Express your boundaries in a firm but respectful manner. Use “I” statements, such as “I’m not available for meetings after 5:00pm,” rather than accusatory language. Never blame a customer or client for your inability to set boundaries. You train people how to treat you, so it’s all on you to make sure everyone knows your boundaries.
3. Be Consistent: Inconsistency undermines your boundaries. If you make exceptions for one person, others may begin to expect the same.
4. Learn To Say No: Saying “no” is often the most difficult part of maintaining boundaries. Just remember that saying “yes” to everything can lead to burnout and other issues in your business. If you are asked to take on an additional project, and you either don’t have the capacity to do the project or don’t want to do the project, you can respond with, “I appreciate the offer, but I’m currently at capacity and can’t take on anything else at this time.”
5. Anticipate Pushback: You may encounter resistance from clients who think you should be available to them 24/7. As a side note, these are usually the clients who are paying you the least and complain the most. But if you stay firm and consistent in your commitment, they will learn to respect your boundaries, and it will become easier for you to stick to them.
6. Review and Adjust: As your business evolves, so too should your boundaries. Regularly assess your boundaries to ensure they are aligned with your personal needs and business goals. Review what’s working and where adjustments need to be made.
Final Thoughts
Setting boundaries is not a one-time task. It's an ongoing process. By knowing your limits, how you want to work with clients and consistently enforcing your boundaries, you will have a much better business, be more productive, develop better relationships and keep your sanity. In a nutshell, setting boundaries will improve your overall quality of life.
